Credentialing at Scale: Building Trust and Efficiency for a Leading Consulting Firm in Southeast Asia

Across Southeast Asia, workforce credibility is increasingly tied to verified skills. In a reputation-driven economy, credentialing and skill certification management have become non-negotiable for organizations seeking to deliver credible trust signals to clients and customers. Our client, a leading global consulting firm with operations across Southeast Asia, relied on learning and development to stay competitive. This meant not only providing training but also ensuring employees and partners had the right credentials and certifications for their roles.

However, its credential management process was disjointed and inefficient, relying on manual email approvals and scattered tools like Jira, notes and emails. This led to cumbersome communication, requiring employees to contact multiple teams for credential requests, causing delays. Each credentialing team required different data, resulting in the need to build multiple applications and survey forms.

This slow and lengthy approval process caused bottlenecks and applicants were often left without updates on the status of their credential applications, leading to frustration and dissatisfaction. Recognizing the need for a more streamlined and efficient system, the firm partnered with Material to digitise and optimise its credential management process with a focus on ease of use and scalability.

  • Developed a user-friendly Drupal-based centralized credential management platform to simplify the allocation, tracking, recording and awarding of business and IT certification credentials for all employees

  • Deployed the platform on Kubernetes (an enterprise standard for containerization used by regional leaders) to establish a fully containerized, scalable and high-availability infrastructure — enabling efficient resource management and seamless deployment of application components

  • Implemented Infrastructure as Code (IaC) to automate provisioning and deployment, reducing manual intervention and improving consistency

  • Integrated Credly for automated credential updates and Vault for encryption to secure sensitive data and ensure compliance

  • Implemented SSO Login via OKTA for secure authentication and role-based access control, ensuring only authorised users access credentialing data

  • Developed fully customizable application editor dashboards with user-defined roles, enabling different types of users to efficiently manage credentialing activities

  • Implemented the Drupal WebForm module to standardize data collection, allowing credentialing teams to create and manage custom application and survey forms independently, reducing complexity and ensuring consistency across teams

  • Enabled a customizable workflow that allows dynamic application state transitions based on business team configurations, ensuring a streamlined and adaptable approval process

  • Built a comprehensive email notification system with token-based templates, enabling credentialing teams to customize notifications for various workflow stages; users can configure email triggers at both the credential and global levels to ensure timely communication

  • Connected Microsoft Outlook using Graph API to track application-related communication, making incoming and outgoing email threads accessible within the application interface

Material streamlined credential management by centralising processes, eliminating reliance on disparate tools. Employees can now request credentials through a unified system, reducing manual effort and delays. Automated real-time updates through Credly integration reduce manual effort and errors, ensuring accuracy and efficiency.

Customizable dashboards with user-defined roles empower users to manage credentialing independently, while standardized data collection via the Drupal WebForm module improve consistency and simplify form creation. Additionally, customizable workflows optimize approval processes, improving efficiency. A comprehensive email notification system ensures real-time applicant updates and Microsoft Outlook integration centralizes all credential-related communications.
